This page explains what personal data we collect when you use liberators.ai, why we collect it, who else sees it, and what you can do about it. We collect what we need to answer you and to run the site, and nothing else.
Who is responsible for your data
The controller is AI LABS Ι.Κ.Ε., trading as Liberators, Akakion 52, 15122 Marousi, Athens, Greece (VAT no. 802905173). For anything in this policy, write to hello@liberators.ai.
What we collect and why
When you book a call or send us a message. We collect your name, work email, company and what you tell us about your business. We use it to reply, to prepare for the conversation (including looking at your public website) and to follow up on your request. Legal basis: steps you ask us to take before a contract, and our legitimate interest in answering business enquiries.
When you download training material or subscribe. On our training pages we collect your name, email, phone number and company. We use them to send you what you asked for and, if you subscribed, our newsletter. We also use them to measure which of our ads lead to sign-ups: for that, a scrambled (hashed) version of your email and phone number is sent to Meta. Legal basis: your consent, which you can withdraw at any time.
When you browse the site. If you accept analytics cookies, Google Analytics records the pages you view, roughly where you are (country and city), your device and browser type, and how you arrived. If you reject them, we load no analytics at all. Legal basis: your consent.
Our server also keeps ordinary technical logs (IP address, time, requested page) for security and to keep the site running. Legal basis: our legitimate interest in a secure site.
Who else receives it
We use a small set of providers to run the business. They process data on our instructions:
- Google (Analytics, if you accept cookies; Workspace for email and files)
- ClickUp (our CRM: enquiries and leads are stored as tasks)
- Slack (internal notification when an enquiry arrives)
- n8n, hosted on our own server (routes form submissions between these tools)
- HeyGen (used to prepare a personalised video reply to some enquiries)
- Meta (only the hashed sign-up data described above, for ad measurement)
- Our hosting provider in Germany (Hetzner), where this site runs
We do not sell personal data and we do not share it with anyone else unless the law requires it.
Liberators OS and Google user data
Liberators OS (os.liberators.ai) is the platform where businesses build their AI assistant. If you connect a Google account there, it accesses only the Google data needed for the features you turn on:
- Google Drive (drive.readonly, drive.file): the files and folders you choose are read, kept up to date when they change, and indexed so your assistant and your team can search them and answer questions from them. Liberators OS never edits or deletes your Drive files.
- Gmail (gmail.readonly, gmail.send): when you or your assistant asks, Liberators OS searches your mailbox and reads the sender, recipients, subject, date and preview of matching messages to answer you, and sends emails you ask it to send. What the assistant shows you stays in that conversation until you delete it; Liberators OS does not keep a copy of your mailbox.
- Google Calendar (calendar.events): your assistant checks your availability and creates the events you ask for.
- Google Sheets (spreadsheets): your assistant reads and adds rows in the spreadsheets you point it to.
Google data is used only to provide these user-facing features. We do not sell it, do not use it for advertising, do not use it to train or improve AI or machine-learning models (ours or anyone else's), and no person at Liberators reads it unless you ask us to for support, it is needed for security or to comply with the law. To produce an answer, the relevant excerpts are sent to the AI provider your workspace uses (OpenAI, Anthropic or Google) under terms that do not allow them to train on it; search embeddings are created with OpenAI and results may be re-ranked with Cohere.
Access tokens are stored encrypted (AES-256-GCM). Disconnecting a Google source removes every file copy, index entry and token that came from it; you can also revoke access at any time at myaccount.google.com/permissions.
Liberators OS's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Transfers outside the EU
Google, Meta, ClickUp, Slack and HeyGen may process data in the United States. Where they do, the transfer relies on the EU-US Data Privacy Framework or on the European Commission's standard contractual clauses.
How long we keep it
- Enquiries and leads: up to 24 months after our last contact, unless you become a client. Client records follow our legal and accounting retention duties.
- Newsletter: until you unsubscribe.
- Analytics: for the retention period set in our Google Analytics property.
- Server logs: a few weeks.
Cookies
The site sets analytics cookies only after you accept them, and the banner lets you reject them just as easily. The full list is on the cookies page, and the “Cookie settings” link in the footer reopens your choice at any time.
Your rights
Under the GDPR you can ask us for a copy of your data, correct it, delete it, restrict or object to how we use it, and receive it in a portable format. Where we rely on your consent you can withdraw it whenever you like, and that does not affect what we did before. Email hello@liberators.ai and we will answer within one month.
If you think we handled your data wrongly, you can complain to the Hellenic Data Protection Authority (dpa.gr) or to the authority in your own country.
Children
The site is for businesses. We do not knowingly collect data from anyone under 16.
Changes
When we change how we handle data we update this page and the date at the top.
